Lily’s Wedding Diary: Wedding Planning Timeline: What to Do & When

When I first got engaged, I was so excited to dive into the planning. I opened a blank calendar and thought, “This will be fun!” Then I Googled what to do… and froze. Venue? Guest list? Dress? I didn’t know what came first  or when anything was supposed to happen. That’s when I realized: having a clear timeline isn’t just helpful, it’s a total sanity-saver. If you’re like me and feeling overwhelmed, here’s the step-by-step guide I wish I had from the start.

Your Lily

12 Months Before: Foundation Phase

This is when the core of your wedding is set. Early decisions and bookings will shape everything that follows.

Tasks to complete:
✔ Select a preferred wedding date or date range
✔ Determine the overall budget, including any family contributions
✔ Research and book the ceremony and reception venue
✔ Draft a preliminary guest list to estimate size and needs
✔ Consider hiring a wedding planner for full-service support

Tip:
Booking a venue early gives you more options with vendors, dates, and overall design flexibility.

Example:
Planning a September wedding outdoors? Book 12 to 14 months in advance to get your ideal location.

6 Months Before: Design and Vendor Coordination

This is when your creative vision starts coming together and your main vendors are locked in.

Tasks to complete:
✔ Finalize contracts with florist, rental provider, and cake designer
✔ Purchase wedding attire and begin fittings
✔ Send save-the-date cards
✔ Finalize the theme, colors, and décor plan
✔ Meet with the officiant and outline the ceremony

Tip:
Keep contracts, notes, and design inspiration organized in a digital folder or shared planning tool.

Example:
Planning a coastal-style wedding? This is the time to finalize your floral and décor look so everything aligns with the vibe.

3 Months Before: Finalization and Confirmation

Now it’s time to tighten up the details and make sure everything is on track.

Tasks to complete:
✔ Finalize your guest list and start working on the seating chart
✔ Send formal invitations
✔ Confirm your menu, music choices, and ceremony timeline
✔ Book the rehearsal dinner location and confirm guest accommodations
✔ Order accessories, favors, and welcome bags
✔ Confirm all vendor arrival times and responsibilities

Tip:
Set small weekly goals to avoid last-minute stress and rushed decisions.

Example:
Share your finalized playlist with the DJ, including must-play and do-not-play songs, to keep the reception smooth and fun.

Common Mistakes to Avoid

✔ Delaying vendor bookings, especially during peak wedding seasons
✔ Leaving too many tasks until the final month
✔ Ignoring your timeline — small things can easily be forgotten
✔ Trying to do everything alone instead of delegating

Final Notes

A simple month-by-month timeline isn’t just helpful  it’s your biggest stress-reducer. It helps you stay focused, avoid chaos, and enjoy the experience instead of just managing it. Whether you’re just beginning or halfway through, this timeline is your anchor. Use it often, stay flexible, and trust the process.
